IMPORT OPERATIONS COORDINATOR

We’re seeking an experienced import ocean freight coordinator to join our growing team in Manchester.

We’re a dynamic team of freight forwarders organising international import and export shipments by air, sea (LCL and FCL), road, and rail to meet our customers’ extensive requirements.

The role involves:

  • Global import operations – from start-to-finish!
  • Quoting and booking shipments to and from worldwide points
  • Keeping up-to-date with market trends and pricing to ensure customers and agents receive the best possible rate
  • Using the various tariffs available, or liaising with suppliers and carriers to obtain the best price for the shipment
  • Accurately preparing all necessary documents in a timely manner
  • Forwarding booking instructions to carriers
  • Handling order traces, invoices, and processing pre-alerts from overseas agents
  • Ensuring cargo is only released against correct documentation and receipt of cleared funds
  • Completing customs entries
  • Monitoring the shipment through to delivery, ensuring the job is completed to meet company standards and the customer’s expectations
  • Keeping all relevant parties updated throughout
  • Making follow-up and keep-in-touch calls to customers to ensure they’re happy with the rates and service we’re providing
  • Developing good working relationships with shipping lines, overseas agents, hauliers and our other branches
  • Growing our prospect database
  • All colleagues undertake general office duties including answering the phone, filing and dealing with the post.

The role requires:

  • Previous experience in quoting and operations of import ocean freight forwarding is essential
  • Knowledge of airfreight and customs systems would be advantageous, eg: CNS, Destin8, CDS and FCL, but full training will be provided
  • Proficiency in preparing and verifying shipping documents, invoices, and customs declarations
  • Understanding relevant regulations, policies, and procedures and compliance with them
  • Problem-solving skills to troubleshoot any issues that may arise during the shipment process
  • Attention to detail and accuracy in maintaining records and reports
  • Self-motivated with ability to use own initiative to work autonomously and manage own workload
  • Excellent customer service, interpersonal and communication skills
  • A team player – from time-to-time you may be required to help other teams to cover for busy periods, holidays, or illness
  • Eagerness to learn and progress, and the ability to grasp new systems and processes quickly
  • Good organisational skills with the ability to prioritise and meet tight deadlines
  • Experienced user of Microsoft Office suite, including Excel, Word and Outlook
  • Developing good relationships with supplier network, including hauliers, shipping lines, and overseas agents
  • Ability to negotiate effectively with customers and suppliers
  • Committed, motivated, energetic, and fun with a positive can-do attitude
  • Flexible with a willingness to get involved in all aspects of the day-to-day business
  • Ability to work well whilst under time constraints with a ‘right first-time’ approach.
  • Experience in other modes of transport would be beneficial.

Location

This role is full-time Monday to Friday based at our office in Manchester.
